INVOICING PROCEDURES

Invoices for 2017 will be sent electronically only to the primary parent/guardian/student over eighteen years of age within the first week of each term. Due date of payment is clearly stated on both the invoice as well as calendar of dates (part of the welcome package). Payment may be made in cash, cheque or direct debit but MUST include student’s name and/or customer ID as stated on the invoice. If payment is to be made via direct debit, parent/guardian/student must consider processing times between banks. If payment has been made via direct debit but not yet received by Rebekah’s Music, receipt of payment must be produced to not incur overdue fees. Receipts of payments made will be sent within the ninth week of each term to primary parent/guardian/student’s nominated email address.

OVERDUE INVOICING

For any payment not received by 5:00pm of the due date, the invoice may be considered as overdue. Cumulative weekly overdue fees of ten percent (10%) will be incurred for the first three (3) weeks past the initial due date. If payment or attempt of payment (either via verbal or written communication) has yet been received after three weeks, parent/guardian/student will receive electronic written communication of termination of lessons. Lessons will not recommence until payment has been made.

PRINTING FEES

A printing fee of $5.00 will be charged at the beginning of each semester for any printing that Rebekah’s Music needs to complete for students.

CANCELLATIONS

The cancellation period of lessons is a minimum of twenty-four (24) hours prior to lesson for reasons that are known and/or are foreseeable (e.g. school concerts, family holidays etc.). These lessons will be made up within the tenth week of each term in makeup week, in which notification via email of the primary parent/guardian/student. If cancellation is made within a twenty-four-hour period, this lesson will not be made up within makeup week.

Lessons will be made up if reasons of cancellation are legitimately unforeseeable (e.g. student/parent is ill), but only if verbal/written communication has been made with Rebekah’s Music as soon as possible. If no communication is made, lesson will not be made up within makeup week

TEMPORARY TERMINATION OF LESSONS

*Temporary termination is for students who wish to return to lessons after a period of time*

If a student needs to temporarily terminate lessons due to either foreseen or unforeseen reasons, a flat twenty-five percent (25%) fee will be applied per term, dependent on the student’s lesson length:

15 minute lessons: $25.00

30 minute lessons: $45.00

45 minute lessons: $67.50

60 minute lessons: $90.00

Termination is non-negotiable and will be due two (2) weeks from date that the primary parent/guardian/student provides written notification of termination.

PERMANENT TERMINATION OF LESSONS

If a student wishes to permanently terminate lessons, written communication must be sent to the Rebekah’s Music email address a minimum of two (2) weeks prior to lessons concluding. It is preferential that students terminate lessons between terms, however is acceptable to terminate during terms. If termination is made within the two week period prior to lessons concluding, a flat fee of $40.00 will be charged to the primary parent/guardian/student’s account via their nominated email address, with due date of payment two weeks from sent date of invoice.

Lessons will be permanently terminated by the teacher due to the following reasons:

·       Payment of invoices is over three (3) weeks overdue, with no attempt of payment being made

·       Student has missed three or more lessons within the one term with no verbal or written communication made to Rebekah’s Music.

·        Student’s behaviour is extreme and lessons are unable to be conducted. Examples of the include; noncompliance with teacher instructions, physical hurt to the teacher and damage of teacher property.
